HR & ADMINISTRATION OFFICER
Job Responsibilities
The job holder will support in the full spectrum of Human Resources & Administration function of our Hong Kong office with a focus on compensation and benefits, carrying out day-to-day objectives and delivering results that have a direct impact on the achievement of the function. Specifically, the person will:
On behalf of Human Resources:
- Independently carry out payroll and benefit operations by collaborating with external payroll and benefit vendors, ensuring precision, punctuality and adherence to local regulations and company policies
- Act as the key administrator in maintaining HR, leave, and attendance record, company insurance and benefits administration, taxation preparation, and handling employees' compensation cases
- Supporting the HR Manager with the full recruitment and on-/off-boarding cycle; from job posting, interview arrangement and contract preparation to final salary payment and exit interview arrangement
- Administer expatriate employment, e.g. work visa application and renewal, as well as tax and benefit administration
- Support annual compensation & benefit exercises such as salary review and employee insurance renewal
- Support employee engagement, talent acquisition, and learning & development activities, e.g. preparing relevant correspondences, notices, and HR metric reports
- Provide active support in driving enhancements in efficiency, accuracy, and compliance with regulatory and company standards
- Assist in ad-hoc projects as assigned
On behalf of Administration:
- Perform office administration tasks, including answering phone calls of the
company’s general hotline, organizing daily mail/deliveries, maintaining an accurate
stock of office supplies, and arranging regular office maintenance service
- Research new deals and suppliers for office supplies
- Arrange employees’ travel including air ticket, car arrangement, and accommodation
- Maintain an accurate employee contact list
- Coordinate and control office expenses effectively such as utilities, office lease, etc.
- Submit and reconcile expense reports
- Maintain physical and digital filing systems
- Provide general support to colleagues and visitors when necessary
- Manage the Company’s mobile devices and SIM cards
- Support company events, e.g. decorating the office for holidays and coordinating Annual Dinner, Christmas party and charity events
Job Profile
What we are looking for:
- At least 3 years’ experience in applying broad knowledge of HR practices, with a focus on Compensation and Benefits
- Hands-on experience in general office administration
- Hands-on experience in SAP SuccessFactors
- Knowledge in Hong Kong Employment Ordinance, MPF, taxation, and related legislations
- Great attention to details and problem-solving skills
- Independent with ability to multi-task and stay highly organized in meeting deadlines
- Good team player with strong interpersonal skills
- A passion for making a difference in the workplace
- A fast and eager learner
- Proficient in MS Office applications (MS Excel in particular)
- Good-to-have: Photo and video editing skills, preferably using Adobe suite and/or Canva
- Fluent English and Cantonese – both verbal and written
